Administrator

Full-time position at our headquarters: 1172 Beacon Street, Newton MA 02461 USA

Description:

You will be part of the administrative backbone of our thriving software and consulting services company. You are responsible for independently carrying out the tasks of the administration department and, to a lesser degree, for providing direct support to our highly educated professional staff. In our busy office, the administrator is fulfilling multiple tasks and responding to a heavy load of email through our customer-relations-management (CRM) system. Administrators are also responsible for phone coverage, office maintenance, and the daily preparation and shipping of our software products.

Qualifications:

  • Excellent verbal and written English language skills
  • Bachelor's degree in English, Business, Journalism, Marketing, or other related fields and a GPA of 3.5 or above
  • A visa to work in the USA
  • At least 2 years of experience in a corporate or professional environment
  • Proficiency with Microsoft Office and ability to learn new software quickly
  • Data entry experience a plus
  • Commitment to quality and attention to detail
  • Superior organizational skills, including multi-tasking
  • Excellent client service orientation and professional attitude
  • Excellent communication skills to customize messages over the phone or via email
  • Willingness to learn and take on new tasks
  • Ability to work and stay focused under pressure
  • Ability to work both collaboratively and without supervision

Responsibilities:

  • Answering the phone, accurately recording caller contact details, and forwarding calls to the appropriate staff members
  • Deploying phone and email sales inquiries and technical support requests through our internal CRM system
  • Data entry and order processing
  • Shipping Caliper software products, which includes burning DVDs, assembling packages, and using shipping software to generate shipping labels and customs invoices
  • Receiving packages and mail and distributing to employees
  • Ordering office supplies
  • Assuming responsibility for general office maintenance and organization
  • Performing entry-level marketing tasks
  • Proofreading marketing materials
  • Communicating with building management as needed
  • Procuring, preparing, and serving refreshments for visiting software trainees
